1. Who we are
MyTradePlatform is a business management platform for trade and service professionals, operated by Richard Harold (“we”, “us”, “our”). We are the data controller for personal data processed through this service.

2. What data we collect and why
2.1 Account data
When you register, we collect your name, email address, and business name. We use this to create and manage your account. Legal basis: contract performance.
2.2 Business and trade information
We store the business information you enter into the platform — client records, job details, invoices, appointment history, and service catalogues. This data belongs to you; we process it solely to provide the service. Legal basis: contract performance.
2.3 Client data you enter
Your clients' names, contact details, addresses, and job-related notes are stored on your behalf. You are the data controller for your clients' data; we act as your data processor. You are responsible for ensuring you have a lawful basis to store your clients' information. Legal basis: legitimate interests / contract performance.
2.4 Location data
Job addresses and location notes you enter are stored to support scheduling and navigation features. We do not collect your device's GPS location without your explicit consent. Legal basis: contract performance.
2.5 Payment data
Subscription payments are processed by Stripe, Inc. We do not store your full card details. Stripe may collect billing name, card details, and transaction records in accordance with their own privacy policy (stripe.com/privacy). Legal basis: contract performance.
2.6 Treatment and health records (certain verticals)
For service verticals that involve animal or personal care, the platform may store treatment records, health notes, and consent forms relating to your clients or their animals. This data is entered by you and stored on your behalf. You are responsible for obtaining appropriate consent from your clients before recording this information. Legal basis: explicit consent (where applicable) / contract performance.
2.7 Usage and technical data
We collect standard technical data including device type, operating system, app version, and error logs to diagnose issues and improve the service. We do not sell this data or use it for advertising. Legal basis: legitimate interests.
3. How we store your data
Your data is stored in secure cloud infrastructure within the UK and EU (Ireland). We use industry-standard encryption in transit (TLS) and at rest. We maintain regular backups and take reasonable technical measures to protect against unauthorised access, loss, or disclosure.
4. How long we keep your data
We retain your account and business data for as long as your subscription is active, plus 90 days after cancellation to allow for reactivation or data export. After this period, your data is permanently deleted. You may request earlier deletion at any time (see Section 6).
5. Who we share data with
We do not sell your data. We share data only with the following categories of sub-processors, strictly to provide the service:
- Stripe — payment processing
- Vercel — web application hosting
- Neon — database infrastructure
- Cloudflare — file storage (Cloudflare R2)
- Resend — transactional email delivery
- Sentry — application error monitoring
- Apple — iOS app distribution (TestFlight / App Store)
- Google — Android app distribution (Google Play)
A full list of sub-processors, including data locations and safeguards, is maintained in our Data Processing Agreement. We do not share your data with advertisers or third-party marketing platforms.
6. Your rights under UK GDPR
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Delete your data (“right to be forgotten”)
- Export your data in a portable format
- Restrict or object to certain processing
- Withdraw consent at any time where consent is the legal basis

You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
7. Cookies
The web application uses essential cookies only — to maintain your login session and remember your preferences. We do not use tracking, advertising, or analytics cookies. No cookie consent banner is required for essential cookies only.
8. Children
MyTradePlatform is intended for use by business owners and professionals aged 18 and over. We do not knowingly collect data from anyone under 18.
9. Changes to this policy
We may update this policy from time to time. We will notify you of material changes by email or via an in-app notice. The “last updated” date at the top of this page will always reflect the current version.
